Courier Tracking & Customer Portals
Offer customers credible shipment status and self-service issue reporting without giving them raw internal carrier events.
What problem does this software solve?
A courier may send dozens of events that customers cannot interpret. Status discrepancies between internal systems and tracking pages create avoidable support requests.
1. Understand the workflow before proposing a system
Map a parcel across pickup, sorting, handoff, transit, delivery and return; identify source timestamps; define which exceptions warrant a customer-facing message. We document current tools, actors, business rules, edge cases, decision ownership and constraints before estimating a build.
Who the system serves
- Senders and recipients
- Courier support agents
- Operations teams
2. Product workflows and screens we can build
The first release should support one complete business journey with clear ownership and error handling. The final feature set is agreed through discovery rather than sold as a fixed checklist.
- Search by secure tracking reference
- Readable shipment timeline with confirmed milestones
- Delivery exception reporting and callback requests
- Authorized dashboards for business senders with multiple shipments
3. Architecture, data models and system boundaries
Ingest carrier events into a normalized shipment timeline with provenance and deduplication. Expose a rate-limited public endpoint that returns only approved status information and never internal addresses or access tokens. Technology decisions follow transaction volume, latency, security, integration complexity and the skills available for maintenance. Where practical, a modular application starts simpler than many independent services.
4. External systems and integration strategy
We inspect access rules and data ownership before promising integrations. API limits, provider plan features, asynchronous delivery and failure recovery are documented in the design.
- Carrier and warehouse tracking feeds
- Customer support platform
- Notification service
5. Testing, access controls and operational safeguards
Authorization, audit records, data validation, observability and recovery planning form part of the delivery scope. Each critical flow is tested for failures and inconsistent external data, not just the happy path.
- Non-guessable identifiers or additional verification for sensitive details
- Rate limiting and abuse protection
- Status freshness and provider outage indicators
6. How we move from discovery to deployment
We split delivery into reviewable milestones with working demonstrations, acceptance checks, clear change decisions and a handover plan.
- Define canonical tracking statuses
- Connect first provider and publish a simple tracking view
- Add sender dashboards and proactive alerts
7. Decide whether the solution is worth building
Improve tracking data quality before investing in an elaborate portal design. During scoping, establish a baseline and decide how the business will measure improvement after launch.
Metrics to agree up front
- Where-is-my-order contacts
- Event ingestion delay
- Tracking success rate
